How to Store Educational Certificates Online

Keep marksheets, degree certificates and transfer certificates safe online — how to scan multi-page certificates into one PDF, name them clearly, and have them ready for any application.

Educational certificates are the documents people most regret losing. Getting a duplicate 10th marksheet or degree certificate can mean weeks of applications, affidavits and visits to a board or university office. A good digital copy won't replace the original, but it means you always have the details and a clear copy ready for applications, verification and job offers — and a head start if the original is ever lost.

Which certificates to store

  • 10th (SSC) and 12th (Intermediate/HSC) marksheets and pass certificates
  • Diploma, degree and postgraduate certificates, plus provisional certificates
  • Consolidated marksheets or transcripts, and semester-wise marks memos
  • Transfer certificate (TC), migration certificate and conduct/character certificate
  • Caste, income, EWS and residence certificates used for admissions or scholarships
  • Entrance exam scorecards, rank cards and allotment letters
  • Professional course, training and internship certificates

Check DigiLocker first

Many school boards and universities issue marksheets and certificates directly into DigiLocker, the Government of India's digital locker. Documents issued there by the issuing authority are treated as equivalent to the original. It's worth checking what's available for your board and university and pulling those records in.

Not everything is in DigiLocker, though — older certificates, private institutes, training certificates and many state documents often aren't. For those, a careful scan is your digital copy.

How to scan certificates properly

  • Lay it flat in bright, even daylight or a well-lit room. Avoid flash, which washes out seals and holograms.
  • Capture every page and both sides — many marksheets have details or instructions on the back.
  • Straighten and crop to the edges so the document fills the frame without cutting anything off.
  • Check readability: zoom in on the registration number, marks and signatures before you save.
  • Combine multi-page documents into one PDF so pages never get separated or mixed up.

Using IDBANKQR.COM's Scan Document

On Add New ID, the Scan Document option walks you through capturing (or importing) each page, lets you drag the corners to straighten it, adjust brightness, contrast and rotation, or switch to grayscale or black & white, and then combines every page into a single PDF you can preview before saving. Quality is adjusted automatically to fit the 2 MB file limit.

Name and label them clearly

Six months from now, "IMG_20260922.jpg" won't tell you anything. Give each certificate a name that says exactly what it is, for example:

  • SSC Marks Memo – 2019 – Board of Secondary Education
  • B.Tech Degree Certificate – 2025 – JNTU
  • Income Certificate – valid till Mar 2027

In IDBANKQR.COM, pick a matching type — Academic Degrees or Marks Memos — add the certificate or hall-ticket number, and for certificates that expire (income or caste certificates often need to be recent), add the expiry date. Documents close to expiring are flagged on My Documents, and you're emailed a reminder 30 days, 7 days and 1 day ahead, so you'll know to renew before an application deadline. Searching for "marksheet" or "degree" on your Dashboard also finds documents filed under related names.

Keep the originals safe. Admissions and employers often verify original certificates in person, and a scan you took yourself is a copy, not a certified document. Store originals flat in a waterproof folder, away from damp, and never laminate them — lamination can make certificates unacceptable for verification.

Sharing certificates for applications

When a college, employer or verification agency asks for a copy, you can share it with a QR code that lets them view, download or print just that document for a limited time — handy at admission counters where you'd otherwise hunt for a photocopy shop.

Students can find a complete checklist and routine in How Students Can Organize Academic Documents.
