How Students Can Organize Academic Documents

A student's guide to organising marksheets, certificates, ID proofs and admission papers digitally — so college applications, scholarships and job hunts go smoothly.

By the IDBANKQR team · · 6 min read

From Class 10 onwards, a student's life runs on documents: board exams, entrance tests, college admissions, scholarships, internships and, finally, job offers. Each one asks for a slightly different set of marksheets, certificates and ID proofs — usually at short notice, and usually as "self-attested copies". Getting organised once saves you from a last-minute scramble every time.

The student document checklist

Identity

  • Aadhaar card (and a masked copy)
  • PAN card, once you have one — needed for bank accounts, stipends and your first job
  • Passport, if you have one
  • School or college ID card

Academic records

  • 10th and 12th (or Intermediate) marksheets and pass certificates
  • Semester marks memos and consolidated marksheet
  • Provisional certificate and degree certificate
  • Transfer certificate (TC), migration certificate, and conduct or study certificates

Admissions and entrance exams

  • Entrance exam scorecards and rank cards (for example JEE, NEET, CUET or state exams like EAPCET)
  • Counselling allotment letters and admission letters
  • Fee receipts

Scholarships and reservations

  • Caste, EWS and income certificates — these often need to be recent, so note when each was issued
  • Residence or domicile certificate
  • Bank passbook first page (scholarships are usually paid directly into your account)

Career

  • Internship, project and course certificates
  • Offer letters and joining documents
  • Your latest resume
  • A recent passport-size photo, as a digital file

Step 1: Collect what's already online

Many boards and universities issue marksheets and certificates into DigiLocker, where they count as equivalent to the originals. Link your DigiLocker account and pull in whatever is available for your board and university.

Step 2: Scan everything else properly

  • Lay each document flat in good light, and capture both sides.
  • Combine multi-page documents into one PDF.
  • Zoom in to check that your roll number, marks and signatures are readable.

IDBANKQR.COM's Scan Document lets you capture each page with your phone, straighten it, adjust brightness and contrast, and save everything as a single PDF. More tips are in How to Store Educational Certificates Online.

Step 3: Name them so you can find them in seconds

Use names that say exactly what a document is, like "12th Marks Memo – 2023" or "Income Certificate – issued Jun 2026". Add document numbers (hall ticket, certificate or roll number) in the details, because application forms often ask for them.

Step 4: Track what expires

Income and caste certificates, entrance scorecards and ID cards all have a shelf life. Add an expiry date wherever there is one — IDBANKQR.COM flags documents expiring within 30 days on My Documents and emails you a reminder 30 days, 7 days and 1 day ahead, so you can renew before a scholarship or counselling deadline.

Step 5: Share smartly during admissions

At an admission counter or a scholarship verification desk, you can share a document with a QR code that allows viewing, downloading or printing for a limited time — no need to forward your certificates on WhatsApp to a staff member's personal number.

Still carry originals and attested copies on the day. Admissions and counselling usually verify original certificates in person. Keep a folder with the originals plus two self-attested photocopies of each, and never laminate certificates.
